Tables are where your records live. A table appears inside a page as a Table block, and the business modules in your workspace — customers, orders, products, and more — are built on top of tables. This page covers the tools you use every day to find, organize, and create records.

The table toolbar

The toolbar sits above the table. From left to right: Some controls only appear when you have the matching permission — see Permissions below.

Filter records

Filter offers two levels:
  • Quick filters adapt to each field’s type. A text field gets a text filter, a number field gets numeric comparisons, a date field gets date ranges, and select, person, and relation fields let you pick from their values.
  • The advanced filter builder composes nested conditions. Start with Where, then combine conditions with AND and OR. Use Add condition for another rule at the same level, Add group to nest a sub-group with its own AND/OR logic, and Delete filter to remove a rule you no longer need.
Nested groups let you express logic like “status is open AND (owner is me OR priority is high)”.

Sort records

Sort orders the table by one or more fields. Add several sort rules to break ties — for example, sort by city first, then by name within each city.

Group records

In a table view, Group by collapses rows into groups based on a field’s values, so you can scan a long table by category, status, or owner. Grouping is available in the table view only; for a column-per-value layout, use a board view instead — see Views.

Show, hide, and reorder fields

Visibility controls which fields appear as columns and in what order. Hide fields you don’t need right now and reorder the rest to put the important ones first. The visible fields and their order also drive what Export includes.

Create records

Select New to create a record. The form that opens comes from the table’s form templates:
  • If the table has several form templates, a dropdown next to New lets you pick which one to use — for example, a short intake form versus a complete record form. See Forms and form templates.
  • Press Ctrl+Enter to save the record without reaching for the mouse.

Settings are saved per view

Everything you configure in the toolbar — filters, sorting, grouping, and field visibility and order — is saved on the view you’re using, not globally. Each view keeps its own setup, so a “My open items” view and a “Full list” view can coexist on the same table. See Views for how to create and manage them.

Permissions

Access to a table is controlled record-level, per table, with six permissions: create, read, update, delete, export, and import. The toolbar only shows controls you’re allowed to use — if you can’t export, the Export button doesn’t appear. If a control you expect is missing, ask a workspace administrator to review your role. See Roles and permissions.

Common tasks

Build an advanced filter

Open Filter and switch to the advanced builder. Add your first condition after Where, then use Add condition for more rules and AND/OR to combine them. Use Add group when part of the logic needs its own AND/OR combination, and Delete filter to remove rules you no longer need.

Group and sort a table

In a table view, open Group by and choose the field to group on — status or category work well. Then open Sort and add one or more sort rules to order the records inside each group.

Hide and reorder fields

Open Visibility and turn off the fields you don’t need. Reorder the remaining fields so the most important ones come first. The change is saved on the current view only, so other views keep their own layout.

Create table, board, calendar, gallery, and dashboard views over the same data.

Control how records are created and edited.

Import and export data

Bring data in with the Data Migration wizard or download it as Excel.

Roles and permissions

Manage who can create, read, update, delete, export, and import records.
